QLCI Time Tracker (the “App”) is an internal mobile application developed by Astrea Software Solutions for Quazar Lighting Concept Inc. (QLCI). The app is intended exclusively for authorized QLCI employees to record time attendance (Clock In/Out) with GPS verification.

We respect your privacy and are committed to protecting your personal data. This Privacy Policy explains what information we collect, why we collect it, how we use and protect it, and your rights and choices.

2. Information We Collect

2.1 Personal Information

We collect the following personal data when you log into the App:

  • Employee ID
  • Email address
  • Authentication token (generated by QLCI’s server)

2.2 Attendance Data

When you clock in or clock out, we collect:

  • Timestamp of the action
  • Whether it is “Clock In” or “Clock Out”
  • Device identifier (set as “MOBILE_APP”)

2.3 Location Data

We collect your GPS coordinates (latitude, longitude) only when: you press Clock In or Clock Out.

  • The app does not collect location data in the background.
  • The app does not track your location continuously.
  • The app does not access location unless you manually clock in/out.

This location data is required to verify the legitimacy of attendance entries as part of company policy.

2.4 Device Information (Automatic)

For security and logging, the following may be collected:

  • Mobile operating system (Android)
  • Basic device information (model, OS version)
  • App version
  • Network status (online/offline)

No sensitive device identifiers (IMEI, MAC address) are collected.

3. How We Use Your Information

We use your information strictly for operational and HR purposes:

  • To authenticate employees
  • To record Clock In/Out time entries
  • To verify attendance location
  • To sync attendance records with QLCI’s HR/Payroll system
  • To ensure accuracy and prevent fraudulent time logging

Your data is never sold, never used for advertising, and never shared with third-party marketers.

4. Data Storage and Security

All data collected by the app is transmitted securely via HTTPS to QLCI’s servers.

Data is stored on:

  • QLCI’s secure HR database
  • Servers managed by Astrea Software Solutions on behalf of QLCI

Security measures include:

  • SSL/TLS encrypted communication
  • Secure token-based authentication
  • Restricted database access
  • Server-level firewalls
  • Regular audit and monitoring

5. Data Sharing and Disclosure

We do not share your data with advertising partners, third-party data brokers, or marketers. We only share data with authorized QLCI personnel for legitimate HR and payroll purposes, including:

  • HR Department
  • Payroll Department
  • Authorized administrators
  • System developers for maintenance / troubleshooting (limited access)

We will disclose data only when required by law or legal process.

6. Permissions Used by the App

6.1 Location Permission

Used only during Clock In/Out. Ensures compliance with company attendance policy. Never used for background tracking or continuous monitoring.

6.2 Internet Access

Required to send attendance data to QLCI servers and to authenticate users.

No other sensitive permissions (camera, contacts, storage, microphone) are used.

7. Data Retention

QLCI retains attendance records as part of its HR and payroll requirements.

Typical retention periods:

  • Attendance logs: minimum of 3–7 years (as mandated by labor documentation standards)
  • Login data: retained only as needed for system security and auditing

If an employee leaves the company, data may be retained as required by company policy and legal obligations.

8. Your Rights

As a QLCI employee, you may request:

  • Access to your attendance records
  • Correction of inaccurate information
  • Clarification of how your data is used

Requests can be made through QLCI’s HR Department.

9. Children’s Privacy

This app is not intended for public use and is not directed to children. Only authorized QLCI employees are allowed to use the app.

10. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Any changes will be posted with an updated “Last Updated” date. Continued use of the app means you accept the updated policy.
